We are looking for a skilled Procurement Clerk whose main task will be to compile information and records to draw up purchase orders for procurement of materials and services. The procurement clerk responsibilities include obtaining price quotes from suppliers based on the various purchase requests within the company. They are also responsible for preparing and keeping track of purchase orders for the company
A professional procurement clerk should display successful negotiating skills and be able to analyse data, such as pricing, quality and delivery, to determine the best supplier.
Duties/responsibilities
- Prepare purchase orders and send copies to suppliers and to departments originating requests.
- Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
- Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
- Prepare, maintain, and review purchasing files, reports and price lists.
- Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
- Track the status of requisitions, contracts, and orders.
- Check orders when they arrive to ensure that orders have been filled correctly and that goods meet specifications
- Locate suppliers, using sources such as catalogues and the internet, and interview them to gather information about products to be ordered.
The Person must have:
- A high school diploma, coupled with extensive on-the-job training,
- Experience in general clerical work.
- Diploma or relevant qualification in procurement, supply chain management or a related field from a technical school or community college. Courses in these programs typically cover accounting, inventory management, global sourcing, negotiation basics and logistics-related information technology.
- Strong reading, speaking and writing skills.
- A good working knowledge of administrative procedures, as well as various computer applications and programs.
