Post Overview

Reporting to the UNESCO Director of the Regional Office for Southern Africa (ROSA) and under the direct supervision of the Education Head of Unit, the Senior Project Assistant will play a crucial role in providing program support. The focus will be on key projects, including the “Facility for Action for Climate Empowerment to achieve the National Determined Contributions (FACE-NDC) project” in Zambia and the “Climate Smart Education Systems Strategic Capability (CSESSC) initiative” in Zimbabwe and Malawi. The position entails effective planning, implementation, and monitoring of UNESCO’s work on these projects.

Programming Work

Costed Activity-Based Work Plans

The Senior Project Assistant will produce costed activity-based work plans, monitor budgets, and track financial expenditures for the FACE-NDC project in Zambia and the CSESSC initiative in Zimbabwe and Malawi. This involves ensuring conformity to work plans for effective implementation.

Financial and Statistical Information

They will produce, monitor, and maintain financial and statistical information for the team, contributing to quarterly and annual donor reports using platforms such as SISTER/UNESCORE.

Coordination of Meetings and Events

The role includes coordinating the planning, organization, and implementation of meetings, events, and webinars related to the programs.

Advocacy for Climate Change and Sustainability

The Senior Project Assistant will support country-level advocacy activities to facilitate transformative behavioral change for climate change and mainstream climate change adaptation into the education sector.

Procurement: Ensuring Efficiency and Compliance

The Senior Project Assistant will play a key role in procurement activities, including developing and maintaining a database of consultants and service providers. They will ensure proper utilization of this database for sourcing quotations, following UNESCO’s rules and regulations on procurement. Responsibilities also include coordinating procurement of goods and services, drafting contracts, and managing contracts end to end.

Program Reporting: Documentation and Communication

The role involves managing an updated e-filing system for efficient storage and retrieval of documentation. The Senior Project Assistant will collect, collate, and analyze data, ensuring effective communication with team members, program beneficiaries, and stakeholders. Timely tracking of reporting timelines and supporting evaluations are key aspects of this function.

  • Education: Completed secondary, technical, and/or vocational education.
  • Work Experience: At least eight (8) years of relevant work experience in project/program implementation and/or administration.
  • Skills: Excellent communication skills, budgeting and project/program-based environments experience, procurement knowledge, and the ability to work in an international and multicultural environment.

Desired Qualifications and Skills

  • Education: A first-level degree in Business/Business Administration or equivalent.
  • Work Experience: Experience with government partners, relevant work experience in an international organization and/or the UN System.
  • Skills: Knowledge of UN rules and procedures, administrative practices, and proficiency in MS Office and IT collaborative platforms.
