ACCOUNTS AND OPERATIONS OFFICER

Department: Accounts and Operations
Duty Station: Harare
Reports to: Development Coordinator

Purpose of the Job: The purpose of this job is the administer all financial procedures as stipulated in the Financial and Administration Manual
Reporting: Writing monthly financial reports for timely submission to the Development Coordinator and
various donors.

Job Specification (Key Areas of Responsibility)

  • Process all invoices and payments
  • Enter all authorised transactions-payments in Pastel
  • Prepare monthly, and quarterly donor financial reports
  • Prepare Bank reconciliation statements
  • Maintain cash Float for Projects
  • File all financial documents chronologically
  • Prepare budgets together with program Staff
  • Maintenance and updating of Asset register
  • Petty Cash
  • Human Resources Function
  • Procurement and Logistics
  • Record Organisational Assets and update Assets Register Communicates with:
  • Development Coordinator
  • Project staff
  • Suppliers
  • All Levels of management

    Overall responsibility

  • Responsible for the handling of project funds, the collection of supporting documents incl. invoices, receipts, reports and attendance lists for all
    activities and regular reporting of expenditure.

    Other Duties and responsibilities:

  • The post holder will carry out any other duties as are within the scope spirit and purpose of the job as requested by Management
  • Effectively follow Caritas Policies
  • Maintain an awareness and observation of the code of conduct and the Risk Management and Security policy and procedures Committed to preventing SEAH and is demonstrated by taking action, including:
  • Improving diversity and inclusion
  • Embedding gender equality in human resource procedures
  • Encouraging scrutiny of their own behaviour and that of senior management

    Person Specifications:

    The requirements listed below are representatives of the knowledge skills and abilities required to perform this job successfully. Individuals must be able to perform each essential duty to the satisfaction

  • Education – A Bachelor’s Degree in Accounting or its recognised equivalent, ACCA, CIMA
  • Experience – 5 or more years of experience working in an NGO sector with various donors

    Communication Skills – Excellent oral communicator when networking and consulting with such a wide range of stakeholders. Excellent written communication skills are required because of the need for regular progress reporting. Need the ability to communicate technical information to non-technical audiences. Strong English command is essential.

    Technical proficiencies:

  • Fully computer literate with professional knowledge of spreadsheets application software including Microsoft Excel and Word and analytical skills.
  • Pastel and Belina Payroll
  • Delivers on set objectives in hardship situations.
  • Effectively coordinates actions with team members
  • Clean driver’s license and good driving

    Theology knowledge: Understanding of Catholic social teachings and mindset
    Adaptability and other competencies:
    Ability to work as a team and also to work individually and be self-motivated.

    Ability to meet deadlines.
