Position summary
Under the responsibility of the General Coordinator, the Medical Coordinator is in charge of the implementation, follow up and supervision of the different medical activities in Zimbabwe in coordination with MdM team and partners.
Job description
More specifically, you will be in charge of the following:
Project management: ensuring the consistency of MdM program according to the needs, MdM policies, international standards and available funds with the General Coordinator and the coordination team
- Preparing and implementing the medical operational action plan for MdM program in collaboration with the partner and MdM team.
- Developing and implementing evaluation systems, supervise and monitor data collection processes, and analyze the medical data on a regular basis, and set up corrective measures in case of need.
- Developing and implementing health surveillance system and give regular feedback on the contextual health situation; supervising the medical teams (site visits or in remote) to monitor the quality of services, organizing and facilitating training for identified gaps; Reacting to any change by adapting the program if necessary (outbreaks, new needs arising, opening of new programs, an influx of IDPs, etc.)
- Performing medical assessments in newly identified areas according to the needs and taking in consideration security context; Ensuring the integration of the different component of the program (mental health and psychosocial support, GBV, etc)
- Working with the finance department on the elaboration and follow-up of the program’s budget
- Working in close collaboration with the administrative department, especially for medical orders (local and international).
- Team management: Recruiting and monitoring the performance of the medical team through regular appraisals and action plan follow-up; Providing technical support to the medical team in rural health centers and the supervisory district team
- Organizing regular meetings, briefings, and debriefings with the medical teams; Training the medical staff (day to day mentoring and ad hoc thematic workshop) according to the identified needs.
- Maintaining good inter-team communication, engender good team dynamics, and take suitable action when problems occur.
- Supporting team members professionally and monitor and support stress management, including regular documented team meetings for planning and reporting purposes.
- Management of medical stocks and logistic chain for medical purchase: Ensuring in collaboration with the administrative department that orders for medical equipment and consumables are appropriate to program requirements and local constraints.
- Supervising medical purchase process (needs evaluation, orders, quality)
- Ensuring the supervision of the pharmacist (consumptions, orders & inventory) in collaboration with the medical manager.
- Coordination with the partners, un agencies, ngos, medical and local authorities: Participating to the different medical meetings especially the health and nutrition clusters and any relevant medical coordination mechanisms; Establishing and maintaining strong partnership with national NGOs involved in the MdM medical program; Establishing and maintaining a good relationship with MoH/DHO to ensure all project activities are carried out with their agreement; Coordinating with UN agencies and other NGOs working in the same areas to avoid program activities overlaps
- Organizing regular meetings with governorate/district health authorities and with the community leaders to maintain a full adherence to MdM medical program.
- Reporting and communication: participating in MdM internal meetings; elaborating monthly sitrep with the coordination team
- Participating in the writing of donor’s activity reports and proposals
- Providing the needed information and available materials for advocacy and visibility on MDM action, the humanitarian situation in Zimbabwe.
Qualifications
- The successful candidate should have: First degree or similar in medicine or medical training
- A valid medical practice license with the Ministry of Health; At least 2 years experience working for an NGO in Zimbabwe or in another context (desirable)
- Knowledge of project management methodologies in a good governance context (including logical framework, project cycle management, Gantt Charts e.t.c.)
- Excellent levels of spoken and written English. Proficiency in spoken Shona will be an added advantage; Experience in organizing a busy workload.
