Job description
To discharge of the following duties and responsibilities: Compilation of payment vouchers and necessary supporting documents; Writing and issuing of payments; Posting of all cashbook transactions into Pastel and processing journals thereof; Maintaining and accounting for petty cash disbursements; Filing of all petty cash vouchers, payment vouchers and receipts; initiate purchases documents (quotations, orders, etc) for supplies and equipment as directed by management and according to the current procurement policies; Monitor office supply levels and record as necessary; raise invoices for receivables timely manner and ensure that all receivables are collected promptly; record cash receipts and make bank deposits, conduct monthly reconciliation of all bank accounts; Issue financial statements monthly and as and when required, provide information to supervisor for production of organizational financial reports; assemble information for external auditors for the annual audit; maintain an orderly accounting filing system, maintain the chart of accounts, Comply with other Government and Institutional compliance requirements, provide clerical and administrative support to management as requested, Ensuring good administration and procurement procedures and compliance with Financial and Administrative policies and procedures; Prepares, maintains and updates the travel advance register; Inputting accounting data and make day to day bookkeeping and administrative operations; Process projects’ payments requisitions that include disbursement of allowances to stakeholders participating at workshops travel per diems to staff and other procurement related invoices; Provide logistical support for programming activities including traveling with programs team to coordinate logistics, remittances of allowances and travel subsistence to personnel and stakeholders; assist in project material inventory control (stock control); Undertake reconciliation of projects’ vehicles monthly mileage calculations and cost allocations.
Qualifications
First Degree level education in Accounting / Finance / Business Administration obtained from a recognized institution (may be studying for an accountancy / finance qualification such as ACCA, CIS, CIMA); Minimum one year undergraduate experience in financial accounting; Clean class 4 driver’s license an added advantage; Working experience within NGO is preferable; Basic knowledge working with Pastel Accounting system; Traceable references; Knowledge of the Pastel Accounting software system and act appropriately within established finance procedures; Prioritize work to meet goals and objectives within acceptable time frames and carry out assigned projects to their completion; Communicate effectively verbally, and in writing; Handle sensitive information in an appropriate manner; Ability to work efficiently with excel, word, PowerPoint etc.); Must be well versed with Zimbabwean statutory regulations, Budgets.
