CNFA is a US-based non-profit nongovernmental organization (NGO) that works to stimulate economic growth and improve rural livelihoods in the developing world through five core capabilities: (1) Productivity, Food Security and Nutrition; (2) Input Supply and Farm Services; (3) Economic Resilience and Rapid Recovery; (4) Value Chain Development; and (5) Volunteer Technical Assistance. Amalima Loko is a new USAID-funded 5-year program implemented by CNFA and 5 partner organizations which applies community-driven approaches to improve food security, nutrition, and natural resource management in over 80 communal wards in Matabeland North.

Position Summary

The Commodity Tracking System Assistant will oversee commodity accounting, reporting and compliance. This position reports to the Commodity Manager.

Location - Bulawayo, Lupane and Hwange

Responsibilities

Administer the consortium CTS database identifying gaps, trends and key issues in consultation with the Commodities Manager.

Ensure a smooth operation of the Last Mile Mobile Solution (LMMS) and Commodity Tracking System (CTS) within the Consortium;

Ensure systems (LMMS and CTS) bugs are fixed, in consultation with IT and World Vision;

Ensure that the distribution Reports, CSR, LSR, RSR and all other supporting documentation including BDL, waybills and summaries are complete, accurate, reliable and timely available for completion of the monthly global Commodity Status Reports, monthly BDL coding update and monthly MEL data capture.

Support database consolidations and generation of global monthly and quarterly commodity reports for Consortium as per donor regulation;

Post the consortium quarterly reports to QWICR as per donor regulations and in liaison with MEL;

Track all losses and ensure that claims are filed as per USAID standards;

Ensure periodic review and cross check of Transportation records, warehouse records and commodity reports.

Ensure compliance to accounting standards through correctly triangulated daily reports, weekly inventories and monthly reports.

Maintain correct and up-to-date shipment registers, loss registers and claims register.

Maintain an audit ready, well-organized filling system for all commodity files, records and reports. Make sure that all documents, reports and files are secure and kept in a safe place;

Maintain a clear and complete paper trail for all the commodity transactions under USAID from port to Amalima Loko and District warehouses to distribution centres and finally to end users / beneficiaries;

Ensure districts maintain complete, correct and properly filed documents.

Ensure BDLs and distribution reports are periodically scanned at district level and a soft copy record maintained.

Any other duties as determined by Commodities Manager.

Qualifications

At least 5 years logistics, commodities and warehouse experience, preferably with food commodities and non-food commodities.

Familiarity with food aid programs, particularly USAID Title II programs.

Degree in Accounting, IT, Supply, Logistics

Strong computer skills a must with proficiency in Microsoft applications, particularly MS Excel, databases experience preferred.

Class 4 driving license, class 2 will be an added advantage

Knowledge, Skills and Abilities Requirement

Intensive knowledge of Commodity Tracking System (CTS) and familiarity with other commodities data bases like LMMS, SCOPE, QWICR.

Strong interpersonal skills.

Previous large-scale commodity distribution experience, especially food for work; assessment experience at least in emergency programs

Systems-oriented ability to train

Languages

Fluency in spoken and written English is essential. Ability to speak and understand IsiNdebele and/or other languages spoken in Matabeleland North is preferred.
