The Procurement/Logistics Associate plays a crucial role in supporting the operations and logistics functions at UNFPA Zimbabwe. Collaborating closely with the Admin Associate, Finance Associate, and other team members, this position ensures the smooth delivery of services related to procurement, logistics, and fleet management, contributing to the overall success of UNFPA’s operations and programmes.

Job Purpose:
The Procurement/Logistics Associate will be responsible for ensuring the efficient management of procurement and logistics processes within the Country Office (CO), in line with UNFPA guidelines. This includes supporting procurement planning, fleet management, and regulatory compliance. The role also involves close coordination with programme and operations teams to ensure programme success and compliance with logistics management policies, including the Logistics Management Information System (LMIS) and Last Mile Assurance (LMA) for FP commodities and SRHR supplies.
Key Responsibilities:
- Support to Operations, Procurement, and Logistics:
- Adapt processes for programme/project logistics, ensuring timely delivery and compliance with UNFPA guidelines.
- Prepare Requests for Quotations (RFQs) for procurement needs and coordinate negotiations with suppliers.
- Manage transportation and logistics decisions, considering product-specific requirements and best industry practices.
- Contribute to joint UN logistics efforts, ensuring smooth operations in line with UNFPA policies.
- Fleet and Transport Management:
- Oversee vehicle and transport management systems, ensuring efficient use of resources.
- Maintain records for vehicles, manage maintenance, and ensure compliance with legal requirements.
- Provide guidance on fleet operations and budget management.
- Last Mile Assurance, Visibility, and Knowledge Management:
- Support the implementation of Last Mile Assurance (LMA) activities, ensuring proper documentation and compliance.
- Collaborate with the programme and communications teams to enhance visibility of UNFPA and donor support.
- Capacity Development:
- Provide technical assistance to national counterparts in logistics management for reproductive health commodities.
- Support implementing partners in strengthening supply chain systems.
- General Support:
- Step in for other team members when necessary and perform other duties as assigned by UNFPA leadership.
Qualifications and Experience:
- Education:
- Completed Secondary Education is required.
- A first-level university degree in Business Administration, Information Technology, Hospitality, Transport, or related fields is desirable.
- Knowledge & Experience:
- At least six years of relevant experience in administration, procurement, logistics, or fleet management.
- Familiarity with office software (MS Word, Excel) and experience with web-based management systems.
- Knowledge of the UN system and experience in logistics or procurement will be an added advantage.
- Languages:
- Fluency in English (written and oral). Knowledge of another UN language is an asset.
