Position Context: Guiding Operations with Expertise

Reporting directly to the Deputy CFO, the Senior Operations Analyst assumes a pivotal role in delivering comprehensive insights and reports across all operational facets under the Deputy CFO and Head of Financial Analysis and Innovation (FAI).

This role involves overseeing administrative and operational progress for significant initiatives, as well as standard activities within the Office of Institutional Finance (OIF) and FAI.

Facilitating efficient records management and resource allocation for OIF and FAI, the Senior Operations Analyst is a linchpin in ensuring seamless operations.

Purpose: Navigating Operational Excellence

  • Monitoring and Analyzing: Keep a watchful eye on the operational landscape, work plans, and activities spanning OIF and FAI. Presenting regular analytical reports empowers data-driven decision-making.
  • Technical Expertise: Extend expert operational support to OIF and FAI. Your technical proficiency enhances the execution of key operations.
  • Administrative Agility: Streamline internal processes, including scheduling, travel arrangements, and meeting coordination for OIF and FAI.
  • Information Flow: Maintain continuous information flow, ensuring documentation review prior to sign-off authority.
  • Strategic Engagement: Collaborate with various stakeholders, contributing to presentations for Senior Management, Board Budget Committee, and both internal and external events.
  • Effective Coordination: Take on the role of Secretary for the Board Budget Committee and other essential meetings.
  • Data Collection and Reporting: Develop an efficient system for collecting and tracking information, generating regular reports that facilitate informed decision-making.
  • Versatile Support: Participate in ad-hoc and special projects, providing valuable operational insights and coordination.
  • Resource Management: Coordinate timely requisition of resources, ensuring smooth project execution.
  • Documentation Integrity: Create and maintain documents like the Finance Manual and Operations Manual, tailored to OIF and FAI’s needs.
  • Operational Control: Collaborate with the Operational Control team, contributing to the successful execution of their responsibilities.

Engagement: Fostering Collaboration

  • Building Relationships: Cultivate connections across the Secretariat to enable seamless coordination of joint activities and information sharing.
  • Correspondence Excellence: Act as a focal point for managing correspondence, ensuring quality control for internal and external communications.
  • Coordination Nexus: Support coordination between the Budget Committee and Secretariat as needed.

Delivery: Supporting Efficiency and Excellence

  • Streamlined Procedures: Contribute to business process mapping and the implementation of operational procedures, enhancing overall efficiency.
  • Document Preparation: Assist in preparing documents and presentations for the Board, Secretariat-wide meetings, and committees.
  • Comprehensive Compilation: Gather data, documents, and information from various divisions, maintaining centralized and accessible records.
  • Work Management: Support the utilization of management tools for effective work planning and timeline tracking. Identify additional tools that can bolster work management efforts.

Requirements: Your Profile for Success

  • Educational Foundation: Possess a Bachelor’s Degree in Administration, Management, or a related field.
  • Experience Amplified: Bring a minimum of 7 years of relevant experience to the role, preferably gained from an international organization.
  • Tool Proficiency: Exhibit proficiency in monitoring and management tools, harnessing technology to enhance operational effectiveness.
  • Organizational Prowess: Showcase meticulous organizational skills, capable of multitasking and delivering high-quality work under pressure.
  • Data Master: Demonstrate the ability to manage and reconcile multiple data sources with minimal errors.
  • Tech Savvy: Display advanced proficiency in Excel and other Microsoft Office suite products. Familiarity with project management software (e.g., Asana) is a plus.
  • Team Spirit: Thrive in collaborative, multicultural environments. Previous experience in fast-paced organizations is an asset.
