CHIEF SECRETARY TO THE DIRECTOR, INFRASTRUCTURE AND ESTATES MANAGEMENT

MAIN DUTIES AND RESPONSIBILITIES

  • Receiving and scheduling appointments for the Director, Infrastructure and Estate Management.
  • Filing office documents.
  • Typing correspondence.
  • Ordering stationery requirements.
  • Distributing stationery.
  • Ordering tea requirements.
  • Servicing meetings.
  • Controlling of incoming and outgoing mail.
  • Dispatching correspondences.
  • Photocopying.
  • Minuting of office meetings.
  • Filing of confidential documents
  • Any other duties as assigned by the Director, Infrastructure and Estate Management.

QUALIFICATIONS AND EXPERIENCE

  1. Higher National Diploma in Secretarial Studies or Office Management.
  2. Five (5) O’ levels including English Language.
  3. Advanced typewriting (50wpm) and (80wpm) Shorthand or 100wpm Dictaphone.
  4. At least two (2) years relevant post qualification experience

CHIEF STORES CLERK, FINANCE UNIT (1 POST)

MAIN DUTIES AND RESPONSIBILITIES

  • Checking the accuracy of the goods, equipment, materials and supplies received from the supplier community.
  • Verifying supplier`s statutory compliance to Income Tax Act [Chapter 23:06] as well as to the Public Procurement and Disposal of Public Asset Act [Chapter 22:23].
  • Creating and maintaining sound inventory records of all the receipts, issues; balances in stock, stock takes, purchase requisition raised by the departments.
  • Administration of the institutions inventory codes.
  • Regular spot checks of all the inventory and reconcile with the stock balances both in the system and manual inventory records.
  • Allocation of university inventory in accordance with the user`s request taking into consideration of the balances in stock.
  • Compilation of departmental, and regional annual procurement requirements.
  • Participating in periodic stock takes.
  • Ensuring that the inventory section is clean and tidy at all the times; and
  • Any other duties assigned by the Administration Officer, Stores.

QUALIFICATIONS AND EXPERIENCE 

  1. Higher National Diploma in Purchasing and Supply or Stores Management.
  2. Five (5) ‘O’ level passes including English language.
  3. Two (2) years relevant post qualification work experience

RECEPTIONIST (2 POSTS) MASHONALAND WEST REGIONAL CAMPUS AND BULAWAYO REGIONAL CAMPUS

DUTIES

  • Organizing and managing professionally the front desk.
  • Maintaining a record of all visitors to the Regional Centre.
  • Ensuring that students, ZOU staff and other visitors to the Region are expeditiously attended to.
  • Answering professionally and promptly all telephone calls.
  • Directing and re-routing all incoming telephone calls to the relevant Officers.
  • Ensuring that high quality receptionist standards are maintained.
  • Ensuring that the switchboard system runs smoothly and efficiently.
  • Faxing documents to relevant areas within and outside the University.
  • Making tea arrangements when necessary for regional meetings
  • Any other duties as assigned by the Regional Administrator.

QUALIFICATIONS AND EXPERIENCE

  1. Certificate in Receptionist
  2. Five (5) ‘O’ level passes including English language
  3. One (1) year relevant post qualification experience
