Job Summary
To provide administration services at the site for all HIV/SRHR programs and screening of clients who come for different types of services offered by the organisation.
Responsibilities
• Explaining all services offered by the organisation to enable the client to make a proper decision on the required service and time taken.
• Screening clients; registering generation of client CIRs.
• Completing & Providing clients with reviews card for future reviews.
• Maintaining orderly client flow making sure that clients waiting time is minimum.
• Providing customer service to internal and external stakeholders.
• Ensuring that all waiting areas have adequate IEC materials, sitting chairs, refreshments, and entertainment.
• Receiving all incoming and outgoing mail and sending it to the designated offices timeously.
• Arranging and updating the pigeon-hole cabinet on a regular basis.
• Taking minutes at every meeting held at the Site, typing & distributing minutes to everyone.
• Presenting statistics in all Audit meetings held monthly at the Site.
• Booking all calls made per day and filing the log sheets.
• Updating the Head office cell phone directory on a regular basis.
• Verifying all sites’ landline numbers as well as Econet numbers on all invoices.
• Conducting daily checks on all landlines and reporting faults to Telone.
• Designing and implementing an up-to-date filing system for electronic and hard copy data; client CIRs, reports and minutes.
• Compilation of daily, weekly, monthly, quarterly, and annual statistics and reports.
• Coding and storing client files under lock and key in cabinets in the strictest of confidence
for easy access and retrieval when clients turn out for reviews.
• Maintaining the data room and making sure that old CIRs are sent to PSH Warehouse for archiving.
• Entering client information in the Novo, Epoc and DHIS system and manual register so that counsellors can access the information from their tablets, and machines in order for them to pick up clients from the waiting area.
• Compiling daily statistics templates for data verification and analysing the cost monitoring tool from Outreach activities for all programmes.
• Entering the client register every morning.
• Extraction of data from NOVO and created a database of all HIV-positive clients for Tracking
(ART client) and Tracing (Indexing) purposes, recording all telephone outcomes from Tracking and Tracing into the databases for easier compilation of reports monthly.
• Compiling daily, weekly, monthly, quarterly, and annual statistics.
• Coordinating and merging the static sites Lab statistics and circumcisions done with the outreach statistics every day.
• Providing the National Aids Council and MOHCC with monthly and quarterly reports.
• Ensures Ministry of Health statistical templates are done and submitted to respective local clinics.
• Makes sure that EPOC data is correctly entered for each client and tallied with the Ministry of Health Green Book.
• Doing weekly stock takes and updating the stock cards to avoid overstocking and under stocking.
• Checking temperatures in the stock room where test kits are kept.
• Checking expiry dates for medicals.
• Keeping a proper record of asset inventory and making sure that there is adequate equipment for outreach activities.
• Reporting and retaining any damaged equipment to the warehouse.
• Maintaining an Assets Register and carrying physical checks monthly.
• Requesting goods and services and stationery on a quarterly basis.
• Printing and distributing timesheets to staff.
• Checking if hours and codes are entered correctly on timesheets.
• Logging in all submitted timesheets.
• Submitting timesheets timeously to the Site Managers /Nurse in Charge.
• Disbursing, reconciling, and replenishing petty cash every month.
• Safe keeping of sites’ petty cash in a lockable cabinet.
• Responsible for all routine driving responsibilities at the Site
• Checks the vehicle before driving staff to and from scheduled outreach activities.
• Keeps the vehicles clean and makes daily checks.
• Keeps the vehicle serviced at the required service intervals.
• Inspects vehicle faults and report the same to the Nurse in Charge.
• Liaise with respective DACs, Traditional Leaders, ZRP, Councilors, Village Health Workers, and other implementing partners in identifying appropriate outreach sites with high output and yield.
• Observes cultural norms from different areas during mobilisation and outreach.
• Establishes and maintains a good working relationship with DACs, Traditional Leaders, ZRP etc.
• Mobilizing and sensitization; going around in schools, companies, and churches mobilizing clients for VMMC.
• Coaching new program staff on the site Reception functioning, screening, registering of new clients, filing, scheduling clients review dates.
Qualifications
• 5 ”O” levels including English and Mathematics.
• Receptionist/Secretarial diploma
• Clean Drivers Licence (Minimum classes 4 and 5)
• 2 years of working experience
• Knowledge of office management skills
• Ability to work with Computers.
• Strong interpersonal communication skills
• Hardworking and able to Communicate at all levels.
• Drive, initiative, and Integrity.
